Online Check Procedures

Ensure you read this completely as this may be different than what you have experienced in the past

All Rosters are frozen as of July 31, 2024, the Roster Freeze Date (please do your best to get all documents in before this date as we have a lot of teams to check in).  Documents will be verified no later than August 1, 2024.  No write in players will be allowed.  Players that do not appear on the match report will not be allowed to play.  You are provided generous rostering ability to account for contingencies, so please don’t ask about additional players or exceptions to this protocol.  

There are 6 steps that must be completed prior to your team being eligible to play.  The first 4 must be done before the roster freeze date of July 31, 2024 (this may all be accomplished before the schedule is released).   Ensure you use Google Chrome on your computer to do this for best results. Steps 5 and 6 occur after the Schedules are publish.

  1. You must decide on the players you are bringing to the event and create those Players in TGS if they are not already there.  Detailed instructions are here and a short video is here.

  2. You must then create a document that includes all of those players as an official “Tournament Roster” which will be converted to a PDF and uploaded to TGS.  (TGS may time out, just refresh it).  Detailed instructions are here and a short video is also here.  (you may use a print out from Gotsport or just type a roster).

  3. You must put a copy of all player cards into one single PDF and upload that PDF to TGS. (TGS may time out, just refresh it).  Detailed instructions are here and a short video is here.

  4. You must select all eligible players and hit submit so that the Tournament officials may review the players.  This will change your player from Eligible to In Review.  Detailed instructions are here and a short video is here.

Once Steps 1-4 are complete, Tournament officials will review your TGS account to verify that all players that are in the system are on the Tournament Roster and also have copies of player cards on your PDF.  All three, the TGS system, the PDF roster, and the Player cards must be exactly the same.  If you need to change your roster or player card PDFs, just create a new PDF and save that one to the system, it will overwrite the old one.  Ensure that any new file is complete with all names/player cards as the old file will be removed from the system.  

After tournament officials have reviewed your player their status will change from in review to approved (this means that they are “checked in” and eligible to play.) Once a player is approved, that player can be added to your match report (once the schedule is posted).  There will be no tournament official check in at the event, that is being done via this online process.

Your player status will change to “approved” once they have been checked in.  

Online Check in Procedures are just like the in person check in procedures that you typically do at a tournament.  Tournament staff will review every roster, the players entered into TGS and match the roster to the player cards that are uploaded.  This has to be done on an individual basis, so please allow the tournament staff time to verify all documentation and accept your players.  Once the players are checked in and accepted, you can add them to your event roster. All Jersey Numbers must be entered into the system (you do this after your players are checked into the tournament).

All teams will check in with the referees at the field.  Before the Match, find the Referee.  This is the responsibility of the Team Manager, do not make the referee come find you.  I suggest moving to the center circle immediately following the end of the previous game.  The game will start on time and if one team is not checked in, they will have 10 minutes of running game clock to be completely checked in or will forfeit the match. There is no need to check in at the facility.   Check-in will occur with the Referee Crew at the field. Referees will be checking in players against the Match Report prior to each game that each team has no more than the max roster amount and that there are NO written in players on the game card (except for girls playing on boys teams - The TGS system can’t reconcile the girl players on boys teams so they must be added manually to the Match Report).

For Recreational teams that do not have player cards you will need an official roster from your organizing body.  As you do not have player cards, you will upload your official roster to both the roster and player card section of your team documents.  The roster should have pictures of the players and birthdates.  If you are not able to obtain a roster with photos, please be prepared to prove identity and birth date at the event if asked.  Further, recreational teams must complete and upload the #R002 form located here - https://usclubsoccer.org/forms-documents/ - as US Club soccer is our sanctioning event, this is required for all recreational players.  This form should be uploaded to your team documents section on TGS and you should bring the hard copies to the event

Players that do not appear on the match report will not be allowed to play.  You are provided generous rostering ability to account for contingencies.  Please ensure that all players are loaded into TGS and that a PDF Copy of your official Tournament Roster (this is not something that has to be out of Gotsport - you can just type your official tournament roster in word or excel and make it a PDF)  and a copy of all player cards are loaded.  If there is any controversy as to a player’s eligibility, the documents loaded into TGS before the Roster Freeze Date will control.

Both teams must ​have player cards and coach cards​ in​ case they are required​ ​by​ the referee prior to the match. 

BOTH teams must provide 3 copies of the Match Report​ to the referee before every match​, the Home team must submit the Match Reports to referees prior to the game. All of your players must be on your copy of the Match Report.

Home Team Supplies the three game balls

Home team is in the light jersey and if the referee declares a conflict, the home team will be required to change.

Field Set up

Game

Event Pins will be located at the field Marshal at Vista Hermosa Sports Park, Forester Ranch, Laguna Hills High School, and the Rancho Capistrano Saddleback Fields (Saturday only) and you may obtain them at any time during the event. 

Benches and Canopies are not provided, please ensure you bring your own.

No spectators are allowed on the end lines of any field.

No Dogs are allowed at any field.

No Alcohol at Any Venue

Post-Game

Both teams sign all 3 copies of the Match Reports, ensure you verify the scores on the match report.  Once the teams leave the field, the scores are final. Each team will keep a copy. Referee will retain the master copy.  Both teams should collect their player and coach cards from the referee​ if need be.​

SCORE REPORTING - Team managers will record the scores to the tournament staff and you may do so one of two ways 1) click report your score here or 2) email it to tournamentdirector.cfa@gmail.comto ensure that the match score is entered as quickly as possible.

Red Cards MUST be reported to the tournament director immediately.  Email tournamentdirector.cfa@gmail.com and include a copy of the match report (JPG is fine). Any disputes must be handled by the Referee at the field at the time of the dispute and only the Head Coach of the team may interact with the Referee.  Game Day instructions
